    Step 1: Own a domain name

    Professional email requires a domain name. you cannot create a you@yourdomain.com address without first owning yourdomain.com. If you don't have one, purchase a domain from Namecheap ($8–$10/year) or GoDaddy. Many hosting plans include a free domain for the first year.

    Step 2: Choose your email hosting method

    Three options: (A) Your web host's email. free if you already have hosting, adequate for small teams, limited features. (B) Google Workspace. $6/user/month, full Gmail interface with your domain, 30 GB storage, Google Meet, Drive. Best for most businesses. (C) Microsoft 365 Business Basic. $6/user/month, Outlook with your domain, Teams, SharePoint. Best for Windows-centric or existing Microsoft tool users.

    Step 3A: Set up hosting email (cPanel method)

    If using your host's email: log into cPanel → Email Accounts → Create. Enter your desired email prefix, set a strong password, choose a storage quota. Your email is now created. Access it via webmail (cPanel → Webmail) or configure an email client (Outlook, Thunderbird, Apple Mail) using your host's IMAP/SMTP settings. Find these under cPanel → Email → Email Accounts → Connect Devices.

    Step 3B: Set up Google Workspace

    Go to workspace.google.com → Start free trial. Enter your domain name when prompted. Google will ask you to verify domain ownership. add a TXT record to your domain's DNS (in your registrar's dashboard). Once verified, create your first user. Then update your domain's MX records to point to Google's mail servers (Google provides the exact values). MX records propagate within 0–48 hours.

    Step 3C: Set up Microsoft 365

    Go to microsoft.com/microsoft-365/business → Buy now. During setup, enter your domain and verify ownership (add a TXT record to your DNS). Microsoft provides exact DNS records to add (MX, SPF, DKIM, CNAME for autodiscover). Add these to your domain registrar's DNS settings. Once propagated, access Outlook via outlook.com or the Outlook desktop app.

    Step 4: Configure SPF, DKIM, and DMARC

    These three DNS records prevent email spoofing and improve deliverability: SPF (Sender Policy Framework) tells receiving servers which servers can send email for your domain. DKIM (DomainKeys Identified Mail) cryptographically signs outgoing emails. DMARC tells receiving servers what to do with emails that fail SPF/DKIM checks. Google Workspace and Microsoft 365 both provide these records during setup. Without them, your emails are more likely to land in spam.

    Step 5: Test your email setup

    Send a test email to a personal Gmail or Outlook account. Check it arrives in the inbox (not spam). Reply from the personal account to confirm two-way communication. Test using mail-tester.com to score your email deliverability (aim for 9–10/10) and identify any missing SPF/DKIM/DMARC records.
